How to publish and make Power Virtual Agent Chat Bot available for Microsoft Teams Teams.

Hello Everyone,

In my previous blog i have shown how to integrate Power Virtual Agent with Microsoft Teams Link

So in this blog post i am going to share my experience on who to publish the Power Virtual Agent Chat bot which is built within Microsoft Teams.

Without a do, Let's gets started.

Now that we have created that Chat bot in Microsoft  Teams see below image:



I have created Employee Enquiry Chat bot using Power Virtual Agent in Microsoft Teams as i have highlighted in the screenshot.

Now i need to publish that chat bot and share it with my team within the Organisation.

Click on the Publish bot refer to the screen shot provided above.

Now Chat bot is ready to be published to make it available, Click on Publish.




As soon as bot is published the Employee Enquiry bot is available to share with the team.

See below image published bot is available to "Open the bot in Teams" and "share bot" with your team.




Lets see how the chat bot looks in Microsoft Teams, Click on "Open the bot" refer to the above image.

You will get an option to add the "Employee Enquiry" Bot  within  Microsoft Teams.



As soon as you click on the "Add" button, "Employee Equiry" will be shown with the teams as below where an employee can communicate with bot to get the answers for his/her Enquiry about whether

1. The offices could be opened
2. Can i speak with HR Team
3. I am i still on Furlough


Lets see this in action, i am chatting with the bot like asking questions, before that i have entered "Hello"
and then the bot come back with reply like hello, how can i help you, so i have typed "When could office opened"? the bot comes with answer as per the configuration done during the designing the bot, further i have chatted with bot like "Can i speak with HR Team" and again bot answer with the configured answer, finally i have asked "I am in still on Furlough" then bot answers like to "Due to covid 19 Central Government extended Furlough until DECEMBER 2nd 2020". then finally bot asks "Do you any more questions" with options "Yes" or "No" then i have selected the "No" then bot asked me to rate the experience of "1" being poor and "5" being Good.







Now i am going to show in action how to share bot with team.. Click on "Share with Team" button.
Another side window will popup with instructions on how to share with Teams, you can submit for  Admin Approval", if the bot is approved, bot will appear in the Org Section in Teams.

Another option i can share with my team by clicking on the "Add to Teams" this will automatically adds my bot to the built by Colleagues section in Teams.  Finally you can disconnect bot from Teams by clicking on the bottom left hand corner button "Disconnect bot from Teams",Refer to the below image for detailed view.


Now for this blog post related i will click on the "Add to Teams" lets see how it appear in the Teams. then it shows it has been added to the teams.


Flip back to the Microsoft Teams home page and click '..."  then select More Apps. then select the BUILT BY GMR IT SOLUTIONS LIMITED.





As soon as you click on it and all the developed app from the organisation gets displayed.



Finally the chat bot "Employee Enquiry" gets displayed shown in the above image.

How to integrate Power Virtual Agent with Microsoft Teams

Hello Everyone,

Today i am  going to show you how to integrate Power Virtual Agent with Microsoft Teams.

Without further a do.. Let's gets started..

Open up Microsoft Teams and  click on "...." then search for Power Virtual Agent.


Then click on the Power Virtual Agent to install on the Microsoft Teams.






Power Virtual Agent will be installed on your Microsoft Teams.You can start creating your first chat bot for your teams to stay focused, productivity, do more, agile improve over all productivity of your business.


With the Power Virtual Agent you can improve:
Engagement
Efficiency
Productivity


With the Power Virtual Agent for Microsoft Teams, your team will have more productivity by not switching between the application for the communications. your people will get help  24/7.

Let's create quick chat bot using Microsoft Teams and how that works.

Without further a do, let's gets started.

Now you are in the Microsoft Teams and Power Virtual Agent added to it.

Click on the  start button as show below.




You can create a chat bot for your Teams from here, select the team for the team joining.

So i have selected the "GMR IT SOLUTIONS LIMITED" and click continue.. see below screenshot.




 Then you will be prompted with new window and give it a name for New bot and select appropriate language.



Now that i have created the "Employee Enquiry" chat bot, you can create your own topics or use AI to automate your most recently asked questions.  Click on   "Go to topics" to  






Our next step is to set up your chat bot with the name, description and trigger phrases. as you can see in the below screen shot that i have created 3 simple trigger phrases.

1. Can i speak with HR Team?
2. I am i still on Furlough?
3. When would be offices opened?




Then click on "Go to authoring canvas".






You will be prompted with below screen where you can create "Trigger Phrases" so i have created 3 Phrases:
1. When would offices opened?
2. Can i speak with HR Team?
3. I am i still on Furlough?

Then i have created a message "Hello" then created a question "Hello how are you ? how can i help you" with the three options for the user..

1. Office opening date
2. Contact HR Team
3. Furlough Information.

If the user selects any one of them then the chat bot will answer accordingly.

Here in this example user selects "Office opening date".

Then bot will answer " Due to pandemic offices are closed until further communications from HR Team.

Then bot will ask question " do you have any other questions? then options will be given to the user like "Contact HR Team".

If the user selects "Contact HR Team" then bot answer will be " HR Team only available on email until further notice".

Then the conversation will end with short survey for the rating...



If the user initially selects "Contact HR Team" then bot message will be " HR is available on email only until further notice, and end of conversation with short survey.

Again if the user initially selects "Furlough Information" then bot answers "Due to Covid 19 Central Government extended furlough until Nov 2nd 2020 " and ends with end of conversation with short survey ratings.

Enable enhanced Microsoft Teams Integration with Dynamics 365 CE Apps

Hello Everyone,

Another lockdown in United Kingdom next Thursday and #stayhome and #staysafe during this pandemic.

This blog post is all about how to integrate Microsoft Teams with Dynamics 365 CE Apps in more enhanced way.  

Let's gets started.

Login into Dynamics 365 Sales hub and go to Settings > Administration > System Settings

Enable the enhanced Microsoft Teams Integrations click on "yes".

Go back to the Main Menu of Dynamics 365 Sales Hub, Click on Accounts > open any account record...




Once you open any account record click on the "collaborate" button..







Click on the "Get started" button as shown on the screen shot..



Click on the "Add" button then launch your Microsoft Teams..





Then you will need to make some settings changes, so click on the settings tab on the "teams", then you need to choose the environment and app you want on the Microsoft Teams from the Settings area on the Teams as below screen shots shows in detail..

Note: Choose an environment and an app. Note: Only environments that are version 9 and higher and Unified Interface apps are supported.



Click on "Save" Button. 

Then click on the My Dashboard then you will be able to see the Dynamics 365 Sales Hub Dashboard and whole app within the Microsoft Teams itself.




Your Dynamics 365 Sales teams can collaborate Teams, without leaving Microsoft Teams and much more from Teams itself.

How to export records data to non editable PDF file from Dynamics 365 Sales Hub

Hello  Everyone,

Today we are going to see how to export the sales hub entities data into a non editable PDF file in Dynamics 365 Sales Hub.

Let's gets started...

Suppose there is a requirement to export the "account" record summary from Dynamics 365 Sales Hub.

How can you achieve that without coding.. you can achieve this with some few clicks configuration for the account entity and then you are good to go..

So lets flip into action...

Open the Dynamics 365 Sales Hub..



Select the App Settings from "Change area" of bottom left of the Sales Hub.

Then you are being shown with the below screen shot..




On overview page click "Manage" then you will be presented with the options of entities you can enable the "export to pdf" on entities selected from productivity tools on your Dynamics 365 Sales Hub.



Once configuration is saved then flip back to Sales area and then open the enabled record for "export to PDF".

In this example i have enabled for account entity and i am able to export the summary as a PDF.



then you will be prompted with the below pop with summary on to the PDF and you can download your office use.

{Launch Dynamics 365 Apps from Power Platform Admin Center}


Hello Everyone,

Its been a while i haven't been blogging.. Now I am back on track and trying to show something new on the power platform maker Admin Center.

Lets gets started..

Normally in the Microsoft 365  Admin Center we used to have this feature i.e launch the Dynamics 365 Apps.

Microsoft has added this new feature as part of the streamlining the admin processes to launch all Dynamics 365 Apps from  "Power Platform" make web url.

Then new window will be launched.

{How to} How to create a lead scanning or uploading a business card on power platform dynamics 365 sales app

Hello Everyone,

Today i am going to show how you can quickly create a lead just uploading or scan the business card with a click of a button on Dynamics 365 Sales App.

Let's gets started.

Scenario: Suppose you are at trade show and at your company stand and customers interested in your products or services might give you their contact details i.e business cards.

In old days you need to carry the business card to your office next morning and enter manually all your potential customer details on customer relationship management or any stand alone application.

Now with the Power Platform Dynamics 365 Sales App Business card scanner, with the click of a button all the information is auto filled.

Login into your Dynamics 365 Sales Hub App

Click on the Quick create and select the "lead" entity.



You will be presented with QUICK create form.



As you can see, i have selected the business card from my desk top and the scan business card reader with built AI functionality all the data will be scanned and auto populates, magic right? :-)




This feature is very useful for busy field sales representatives.

{How to} How to set up trial version on your existing Power Platform Tenant

Hello Everyone,

Today i am going to share quick tip on how to set up a trail from your existing Dynamics 365 Subscription.

Let gets started..


Login to your power platform tenant.

www.admin.powerplatform.microsoft.com

Enter your existing power platform credentials, make sure you are system administrator or global administrator role to perform this task..


Once you have successfully logged into the admin center of the power platform, click on the "environment" which is found on the left side of the page.




You will see all the environments of your tenant,

Please note: Earlier on the Dynamics 365 Customer Engagement admin center, you call same "environments" as "instances".



Click on the "New" button you will be presented with small web page on the right hand side of the admin center..



Name your environment and select the "Type" = Trial, in the Trial down field you will see three field values:
1. Sandbox
2. Production
3. Trail

I will expand more on the third "Type" as you all aware sandbox and production environments require subscription, so "Trial" option is free.

While creating the trial you don't need to pay for anything.

Region:
Region is where you are currently residing, choosing non geo location of your area will be impacted as you may face slowness while accessing your application. so choose right region.

Purpose:
What purpose you want to use trial environment.

Lastly Create Database for this environment: Create a database and build apps by using Common Data Service(CDS) for Apps as a datastore.

Once you select all the options from the new environment window click next..


If you select create database then you need to fill all the selections and also the "Enable Dynamics 365 Apps" currently dynamics 365 apps enabled for production environment, so you can create a trial and associate with this environment.

If you want sample data and apps, you can enable that by enabling the button, regarding the security group can select them if you want to test it out on the trial environment.


Finally you will see trial environment created.



Note: Trial environment storage does not count against the paid subscription.

{Did you know} Dynamics 365 Web client settings now in Power Platform

Hello Everyone,

Today i am going to show how the Dynamics 365 Web Client transformed into the Power Platform Settings.

Let's gets started.

Usually when we are using the new Unified Interface any settings configuration is rendered into the web client area but now you can do all in Power Platform.

For example: You are on the Dynamics 365 Sales App would like to do some system wide settings.

You click on little gear icon.


Now you can see all system wide settings on the Power Platform Admin Center itself, no more page rendering on the web client.

{How to} Power Platform Dynamic 365 Sales App settings render Unified Interface only


Hello Everyone,

Today i am going to show how you can quickly set the Unified Interface only for any Dynamic 365 App's either it may be

Dynamic 365 Sales App
Dynamic 365 Customer Service App
Dynamics 365 Field Service App

For example:

Login into your Dynamic 365 Sales App and click on the little gear icon..



Now settings page is displayed on the Power Platform area.



Click on the "Settings" with gear icon..


Now save the settings..

When you login into the dynamics 365 sales app it automatically renders Unified Interface only.

{Dynamic 365 Sales Hub} Add existing record button on Sub Grid

Hello Everyone,

Did you know on Dynamic 365 Sales Hub aa new feature has been added in 2020 release wave 1.

I was working on custom entity on the sales hub and there is a requirement to add a sub grid to fetch existing products from "product catalog".

Here is the magic..



so you can add the products directly instead of clicking on the "+" sign on web client previously.

{Power Apps} How to validate solutions in the developments for new UI Upgrade Dynamics 365 apps

Hello Everyone,


Today I am going to show on how to validate your solutions whether they are compatible with new Unified Interface of Dynamics 365 Apps for upgrade as Microsoft mentioned web client deprecated see here

So let's get's started then..

Head over to the https://make.powerapps.com/environments

choose the environment which you are trying to validate and then click on the solutions.

A list of solutions will be displayed and select the solution you want to validate with the "Solution Checker".

Select the solution and click on "..." you will see "solution checker" and click on "Run".


Then the solution will be checked by the solution checker and on top right hand corner a spinner will appear beside solution checker, once it is done.

You will get notification if you are system administrator with the solution and details or you can select the solution which is being checked and click on the "..." the you will see
> Run
> View Details
> Download

If your solution is not checked yet "View Details and Download" buttons will be disabled.

if you download you will get excel sheet along with high,medium and low warnings for that solution and how to resolve the compatibility issues.

{power apps} Unable to view Business Process Flows on the Customer Service App New Unified Interface

Hello Everyone,

I have been working on new Unified Interface upgrade from web client of Dynamics 365 Customer Engagement..

Client have complained that they are not able to see the "Business Process Flow" on the case form when opened.

As you all know when you are transitioning from web client to New Unified Interface you will need to check your solution with solution checker.

Simple solution is to open the "customer service" app on the app designer and select the Case entity and add the missing "Business Process Flows" to the entity.


similarly if there is any forms missing for particular entity just add them to the related entity then save, validate and publish.. finally "Play" the app from the app designer itself.
